Consent to the Collection and Use of Personal Information

The 2025 Seoul Forum on AI Safety and Security Secretariat establishes and discloses this Privacy Policy in accordance with Article 30 of the Personal Information Protection Act to protect the personal information of data subjects and to ensure that any related grievances are handled promptly and effectively.

The Secretariat processes personal information for the following purposes: to verify user registration, manage users, prevent fraudulent use of services, provide notices and notifications, and keep records for dispute resolution. It also processes information to confirm service requests such as participation in various programs, and for identifying or modifying submitted applications. The collected information will not be used for any purpose other than those stated, and if the purpose of use changes, separate consent will be obtained in accordance with Article 18 of the Act.

Personal information is retained and used only within the period consented to by the data subject or as required by law. Information related to website user registration and management is retained for up to one year after the conclusion of the event, and information related to service provision is retained until the service is completed.

For efficient operation, the Secretariat entrusts personal information processing to Mec & Wip Co., Ltd., which operates the 2025 Seoul Forum on AI Safety and Security and its official website. When outsourcing, the Secretariat includes clauses in the contract prohibiting the use of information for purposes other than the entrusted work, ensuring technical and administrative protection, restricting re-entrustment, supervising the contractor, and requiring liability for damages. Any changes to the entrusted work or the contractor will be disclosed promptly through an updated Privacy Policy.

Data subjects may, at any time, exercise their rights to access, correct, delete, or suspend the processing of their personal information. Such requests can be made in writing, by email, or by fax, and the Secretariat will respond without delay. These rights may also be exercised through an authorized representative by submitting a power of attorney form in accordance with the official guidelines. However, access or suspension requests may be restricted under Articles 35(4) and 37(2) of the Act, and correction or deletion may not be permitted if the information is required by law. The Secretariat verifies the identity of individuals or representatives making such requests.

The Secretariat processes the following personal information items: for website registration and management, name, organization, position, contact number, and email address are required. During website use, additional data such as IP address, cookies, MAC address, service usage records, and access logs may be automatically collected.

Personal information is destroyed without delay once it becomes unnecessary due to the expiration of the retention period or the fulfillment of its purpose. If retention is still required by law, the data is stored separately in a secure database or storage location. Electronic files are permanently deleted so they cannot be recovered, while paper documents are shredded or incinerated.

To ensure the security of personal information, the Secretariat implements various measures, including internal management plans, regular staff training, access control to systems, encryption of unique identifiers, installation of security programs, and physical access restrictions to computer and data storage rooms. The Secretariat does not use cookies or other automatic collection tools for personalized services.
The Personal Information Protection Officer responsible for handling inquiries, complaints, and issues related to personal information is Mr. Choi Chul-kyu, Team Manager at Mec & Wip Co., Ltd. (Phone: +82-70-7688-7743). Data subjects may contact the officer regarding all matters related to personal information protection, and the Secretariat will respond promptly. Requests for access to personal information under Article 35 of the Act may also be directed to this officer.

If an individual suffers damage due to a personal information infringement, they may seek assistance from the following organizations: the Personal Information Dispute Mediation Committee (1833-6972, www.kopico.go.kr), the Personal Information Infringement Report Center (118, privacy.kisa.or.kr), the Korean National Police Agency (182, cyberbureau.police.go.kr), or the Cyber Bureau of the National Office of Investigation (+82-2-3150-1058/1659/0234/0233). Persons whose rights have been violated due to an administrative decision or omission may also file an administrative appeal in accordance with the Administrative Appeals Act, and further information is available at the National Administrative Appeals Commission (www.simpan.go.kr).
This Privacy Policy takes effect on October 1, 2024.
